Executive Summary
A quality system is judged by its records. The software decides how hard those records are to keep, and how quickly an auditor can follow them.
A quality management system is the set of processes a company uses to make products that meet requirements, and the records that prove it. The software, also called an eQMS, manages controlled documents, training, deviations and nonconformances, corrective and preventive actions (CAPA), complaints, supplier quality, change control and audits. The product lifecycle management guide covers product design data; the manufacturing execution guide covers the shop floor. This guide covers the quality records that connect them.
Industry decides more than features. A pharmaceutical company works under GxP rules, a device maker under device regulations, an aerospace supplier or food producer under other standards. The approaches in this guide reflect that: life sciences suites, systems for growth-stage life sciences companies, medtech-specific products, enterprise QMS, QMS built on a CRM platform, and cross-industry products.
Why Quality Software Is a Separate Purchase
Paper and shared drives can run a quality system for a small team. As products, sites and regulators multiply, the links between records start to matter: a complaint leads to an investigation, a CAPA, a document change and retraining, and an auditor will follow that chain. An eQMS keeps the chain connected, with signatures, versions and audit trails that hold up in an inspection.
For medical device makers in the US, the regulation has changed. FDA states that with ISO 13485 incorporated in the QMSR, the requirements of ISO 13485 become the foundational requirements for device CGMPs. FDA states that compliance only with ISO 13485 does not fully satisfy the QMSR. The Federal Register lists the rule as effective February 2, 2026. Ask device-focused vendors how their templates and workflows reflect the QMSR.
Specialization by industry is a selling point. Greenlight Guru says 1,000+ device companies use its medical device QMS software. Veeva says Veeva Quality Basics, aimed at emerging biotechs, comes ready to use with no implementation or maintenance costs.
Standalone eQMS, Suite Module, or Platform-Native
Quality functions also appear inside PLM, ERP, MES and EHS software. A standalone eQMS earns its place when quality records must be validated, linked across processes and ready for inspection. A third choice runs quality on a platform the company already uses.
Platform-native QMS reuses existing data and users. ComplianceQuest describes its product as an AI-powered quality, risk and compliance platform on Salesforce. ComplianceQuest says it can automate categorization and prioritization of CAPAs based on risk and recurrence.
| Model | What you get | What you take on |
|---|---|---|
| Standalone eQMS | Quality processes and records in one system | Integration with PLM, ERP and MES |
| Life sciences suite | Quality alongside regulatory, clinical or manufacturing | A larger platform commitment |
| Industry-specific QMS | Templates for one regulated industry | Less fit outside that industry |
| Platform-native QMS | Quality on a CRM or other platform you run | Dependence on the platform underneath |
| Module in PLM, ERP or EHS | Quality tied to the host system | Depth limited to the host's quality features |
How do you evaluate Quality Management Systems (eQMS)?
Evaluate these systems on your own quality processes and an inspection scenario. The capabilities that decide results are document control, training, quality events and CAPA, complaints, supplier quality, audits, change control, and the links between them.
The links between processes are where products differ. MasterControl says it can automatically launch training and exams from document change control, CAPAs and production records. MasterControl offers a no-code designer for quality event forms and workflows. AI is arriving in quality work too. Qualio says its AI agents run gap analyses, monitor regulatory changes and execute workflows. Honeywell says TrackWise offers a cloud-based QMS with AI-enabled features such as auto-summarization and advanced analytics.
| Capability | What it does | Buyer translation |
|---|---|---|
| Document control | Versions, reviews, approvals and signatures | The core of every quality system. |
| Training management | Assigns and records training on documents | Ask how document changes trigger training. |
| Quality events and CAPA | Deviations, nonconformances and corrective actions | Ask how events link to root cause and CAPA. |
| Complaints | Captures and investigates complaints | Essential for device and consumer products. |
| Supplier quality | Qualifies and monitors suppliers | Ask about supplier portals and scorecards. |
| Audit management | Plans audits and tracks findings | Covers internal, supplier and external audits. |
| Change control | Manages changes to products and processes | Ask how it connects to PLM. |
| Validation support | Evidence the system works as intended | Ask what the vendor provides and what you must do. |
Vendors in Quality Management Systems (eQMS)
Representative vendors include ComplianceQuest, Greenlight Guru, Honeywell TrackWise, Ideagen, MasterControl and Qualio. The list is alphabetical, is not a ranking, and is not for sale. How we choose vendors
The approaches below differ by industry, company stage and platform. Several vendors serve more than one industry, so each approach describes where a product is strongest.
Names change in this market. A request for etq.com is answered by octave.com. Octave says Reliance quality management software was formerly ETQ Reliance. Octave says Reliance is the rebranded version of ETQ Reliance and reflects Octave's transition into an independent spin-off brand. Confirm the current owner, product name and roadmap of any vendor before signing.
| Vendor | Approach | Where it fits |
|---|---|---|
| Ideagen | Cross-industry QMS | Mobile-first quality management for distributed teams |
| Honeywell TrackWise | Enterprise QMS | Cloud QMS for large regulated manufacturers |
| Qualio | Growth-stage life sciences | Cloud QMS for life sciences companies formalizing quality |
| MasterControl | Life sciences QMS suites | Connected quality and training for regulated life sciences |
| Greenlight Guru | Medtech-specific QMS | QMS built for medical device companies |
| ComplianceQuest | Platform-native QMS | Quality, risk and compliance on Salesforce |
Approaches were set before any vendor was chosen to represent one, and a listing here cannot be purchased. The QMS field includes more than fifteen vendors, among them EHS and life sciences suites. Quality software vendors, named here or not, can make their case in the Spotlight below.
How much should you budget for Quality Management Systems (eQMS)?
eQMS pricing is set by users, modules, sites and frameworks, with implementation and validation on top. Qualio says Foundation includes 3 frameworks and Growth includes 5. Qualio says an implementation fee applies to all plans. Ask each vendor for the pricing unit, the cost of validation, and how prices change when you add sites or modules.
The value of an eQMS shows up in faster document and CAPA cycles, fewer audit findings, less time preparing for inspections and fewer paper errors. Model it on your own cycle times and audit history.
| Meter | You are charged for | Grows with | Where it goes wrong |
|---|---|---|---|
| Users | Named or role-based users | Headcount | Paying full price for read-only users |
| Modules | Documents, training, CAPA, suppliers, audits | Scope | Core processes sold separately |
| Sites | Locations or instances | Footprint | Each new site priced as a new deal |
| Frameworks | Regulations and standards supported | Markets | Frameworks sold as add-ons |
| Implementation and validation | Setup, migration and validation work | Complexity | Validation costs left out of the quote |
How long does implementation take for Quality Management Systems (eQMS)?
Quality projects depend on clean documents and validated configuration. Move documents and training first, then quality events.
Map processes to the system. Agree the validation approach and the evidence the vendor provides.
Migrate controlled documents with history. Connect training to document changes.
Move deviations, nonconformances, CAPA and complaints. Measure cycle times against the baseline.
Add supplier quality and audits. Roll out to further sites.
What should you ask vendors about Quality Management Systems (eQMS)?
Ask each vendor to answer on your processes, regulators and sites.
