Section 1

Executive Summary

Safety programs run on what gets reported. The software decides how easy it is to report, and whether anyone acts on it.

Environmental, health and safety software manages the work of keeping people safe and operations compliant: incident reporting and investigation, inspections and audits, hazard and risk assessments, permits, chemicals, occupational health, training and regulatory records. The sustainability guide covers ESG and emissions reporting; the quality guide covers product quality. This guide covers the operational safety and environmental compliance work in between.

The approaches differ by who uses the software. Enterprise suites serve EHS teams across many sites. Risk and sustainability platforms join safety to environmental data. Frontline apps put inspections on workers' phones. Contractor platforms qualify the suppliers who work on site. Camera-based tools watch for risks as they happen.

Section 2

Why EHS Software Is a Separate Purchase

Safety and environmental compliance produce a steady flow of records: incidents, near misses, inspections, corrective actions, training, permits and exposure data. Regulators expect some of them on a schedule. The eCFR text states that a company with more than ten (10) employees at any time during the last calendar year must keep OSHA injury and illness records unless its establishment is classified as a partially exempt industry. OSHA states that covered establishments must electronically submit information from their OSHA Form 300A.

🎯
Strategic Impact
Three questions sort the shortlist. Who will enter most of the data: EHS specialists or frontline workers? Which regulations and reports apply to your sites? And does EHS need to share a platform with quality, sustainability or risk?

Reporting deadlines are fixed. OSHA states that the deadline for timely submission of injury and illness data was March 2, 2026. OSHA states that a requirement on its page applies to establishments with 100 or more employees in industries listed in Appendix B to Subpart E of Part 1904. Ask each vendor how its incident records map to the forms you must submit, and how submissions are produced.

Occupational health is a separate discipline inside EHS. Cority describes keeping track of exams, exposures and worker health in one system. Cority describes an EHS+ platform that converges people, data and AI agents.

Section 3

Enterprise Suite, Frontline App, or Specialist Tools

Organizations choose among an enterprise EHS suite, a frontline app, specialist tools for one problem, or a mix. A suite covers the full program with deep configuration. A frontline app puts inspections and reporting in workers' hands quickly. Specialist tools handle contractors, chemicals or camera-based detection.

Suites argue for one data model. Benchmark Gensuite says every application on its platform shares the same data layer, workflows and AI. Sphera says it unifies risk, safety and sustainability into a single enterprise-wide view. Frontline apps argue for adoption. Mitti describes itself as the app built for frontline teams, connecting people, workflows and operational data into one complete picture.

Model What you get What you take on
Enterprise EHS suite Incidents, audits, health, environment and compliance Configuration and rollout across sites
Risk and sustainability platform Safety joined to environmental and risk data A broader platform commitment
Frontline app Inspections and reporting on mobile devices Less depth for EHS specialists
Contractor platform Prequalification and compliance of suppliers A network your contractors must join
Camera-based safety Detection of risks from existing cameras Privacy reviews and worker consultation
⚠️
Common Pitfall
Building for the EHS team and forgetting the frontline. If reporting a near miss takes ten minutes on a desktop, workers will not do it. Test reporting on a phone, in gloves, on the shop floor, before signing.

Section 4

How do you evaluate Environmental, Health & Safety (EHS) Software?

Evaluate these products on your sites, hazards and regulations. The capabilities that decide results are incident reporting and investigation, inspections and audits, corrective actions, risk assessment, occupational health, environmental compliance, contractor management, training records, and regulatory reporting.

Global operations need reach. VelocityEHS says it supports standardized work across 15+ languages. VelocityEHS describes mobile access for completing EHS work across locations and devices. Environmental data is its own discipline: Sphera says it has 20,000+ annually updated, third-party-verified datasets.

Capability What it does Buyer translation
Incident management Reports, investigates and classifies incidents Ask how records map to required forms.
Inspections and audits Checklists, findings and follow-up Test on a phone at a real site.
Corrective actions Assigns and tracks fixes Ask how overdue actions escalate.
Risk assessment Hazard identification and controls Ask about job and task-level assessments.
Occupational health Exams, exposures and medical records Needs strict access controls.
Environmental compliance Air, water, waste, permits and chemicals Match to your permits and regulators.
Contractor management Prequalification and site access Ask how contractors join and stay compliant.
Regulatory reporting Produces required logs and submissions Ask for a sample of your required forms.
💡
Evaluation Tip
Take one real incident from last year and ask each vendor to take it from first report through investigation, corrective action and the regulatory record. Time the frontline report and count the steps.

Safety data is moving beyond forms. Protex AI says it links existing camera infrastructure to enterprise data. Protex AI says it connects to WMS, MES, TMS, EHS, CMMS and other site-level data sources. Before deploying camera-based tools, agree with workers and their representatives what is watched, what is kept and who sees it.

Section 6

How much should you budget for Environmental, Health & Safety (EHS) Software?

EHS software is priced by users, sites or locations, and modules, with implementation on top. Mitti offers fixed pricing per location. KPA says it offers compliance software, consulting and training in one place. Ask each vendor for the pricing unit, what frontline users cost, and which modules are needed for your regulations.

The value of EHS software shows up in fewer incidents, faster investigations, fewer citations and less time producing reports. Model it on your own incident rates, audit findings and reporting effort.

Meter You are charged for Grows with Where it goes wrong
Users Named or role-based users Headcount Paying full price for occasional reporters
Sites or locations Facilities covered Footprint Small sites priced like large ones
Modules Incidents, audits, health, environment Scope Core reporting sold separately
Contractor fees Contractors joining a network Contractor count Costs passed to suppliers
Services Configuration, consulting and training Complexity Services left out of the quote
What moves the bill
People EHS specialists, frontline reporters and contractors.
Footprint Sites, regions and languages.
Scope Safety, health, environment and contractor modules.
Annual Value Formula
Annual Value = Incident Costs Avoided + Citations and Fines Avoided + Reporting Time Saved + Investigation Time Saved − (Subscription + Implementation ÷ Years + Administration)

Section 7
