Buyer's Guide: Accounts Receivable & Collections Automation

Accounts receivable automation sends invoices, chases payment, takes payments and matches them to what customers owe. It turns revenue already earned into cash sooner. Six approaches, from AR platforms with payment networks to order-to-cash suites, mid-market collections tools and cash application.

Executive Summary

Revenue is recognized when it is earned. Cash arrives when the customer pays. AR software works on the gap between the two.

Accounts receivable is everything between sending an invoice and having the cash in the bank: delivering invoices, extending credit, reminding customers, handling disputes, taking payments and applying them to open invoices. Automation software takes on that work for B2B companies, where invoices are large, terms are long and customers pay in many ways. The AP automation guide covers the other side of the same transaction: paying suppliers.

The approaches differ by company size and where the work is hardest. AR platforms with payment networks serve suppliers with many customers and payment channels. Collaborative AR puts customers in a shared portal. Order-to-cash suites serve large organizations end to end. Mid-market tools focus on collections. Newer products build AR around AI agents and embedded payments.

4 core jobs: invoice, collect, pay, apply
2 sides of every B2B invoice: AR and AP

Section 2

Why AR Automation Is a Separate Purchase

ERP systems record receivables; they do little to collect them. The work of collecting happens in email, spreadsheets, bank portals and customers' own AP portals, and it scales with the number of customers rather than the size of the company. AR software takes on that work, so a collections team can cover more accounts and finance can forecast cash with more confidence.

🎯
Strategic Impact
Three questions sort the shortlist. Where does AR work pile up today: delivering invoices, chasing payment, or matching cash? How many customers, payment methods and AP portals do you deal with? And should AR share a platform with credit, payments and the rest of order-to-cash?

Customers increasingly decide how invoices arrive. Billtrust says it delivers invoices through a single interface for more than 260+ AP portals. Billtrust says invoicing, payments, credit, collections and cash application run as one platform.

The customer experience is part of the product. Versapay describes electronic invoice presentment and payment with a self-serve portal where customers pay, manage accounts or resolve disputes.

Section 3

ERP Module, AR Platform, or Order-to-Cash Suite

ERP systems record receivables, and some send basic reminders. A dedicated AR platform earns its place when volume, payment channels or collections work outgrow them. An order-to-cash suite goes further, joining orders, credit, invoicing and collections for large organizations.

Suites cover the whole cycle. Esker says it connects every stage of the order-to-cash process in one AI-driven platform to help large organizations accelerate cashflow. Integration with the ERP decides how fast any of these can start. Versapay says it integrates with NetSuite, Intacct, Dynamics 365 or any other ERP via open APIs or flat files.

Model What you get What you take on
ERP receivables module Invoices and basic reminders in the ERP Manual collections and cash matching
AR platform with payments Invoicing, payments, collections and cash application Integration with ERP and banks
Order-to-cash suite Orders, credit, invoicing and collections together A larger implementation
Collections tool Reminders, workflows and forecasting Payments and cash application elsewhere
Cash application tool Matching payments to invoices Collections handled elsewhere
⚠️
Common Pitfall
Automating reminders before fixing disputes. If invoices go out wrong, faster chasing only produces more disputes. Find the top reasons customers do not pay on time and fix those first.

Section 4

How do you evaluate Accounts Receivable & Collections Automation?

Evaluate these products on your customers, payment methods and ERP. The capabilities that decide results are invoice delivery, collections workflows, dispute handling, payments, cash application, credit management, forecasting and reporting.

Cash application is a matching problem suited to automation. Serrala says its Agentic AI matches payments at automation rates of up to 99%. Serrala describes automating collections with Agentic AI-driven prioritization and managing disputes. Collections are becoming account-specific. Invoiced says every account gets its own playbook, with reminders that adjust to how that customer actually pays.

Capability What it does Buyer translation
Invoice delivery Email, portal and AP portal delivery Ask which AP portals are supported.
Collections workflows Reminders, tasks and prioritization Ask how accounts are prioritized.
Dispute management Tracks and resolves disputes Ask how disputes reach sales and service.
Customer portal Self-service payment and account view Test it as your customer would.
Payments ACH, card and other methods Ask about fees and who pays them.
Cash application Matches payments to invoices Test with your messiest remittances.
Credit management Sets and monitors credit limits Matters for new and risky customers.
Forecasting and reporting Cash forecasts and DSO Ask how forecasts are calculated.
💡
Evaluation Tip
Give each vendor a month of your real remittances, including partial payments and payments without references, and compare how many each one matches automatically and correctly.

Vendors in Accounts Receivable & Collections Automation

Representative vendors include Billtrust, Esker, Invoiced, Serrala, Upflow and Versapay. The list is alphabetical, is not a ranking, and is not for sale. How we choose vendors

The approaches below differ by company size and the part of AR they handle best. Several vendors cover more than one, so each approach describes where a product is strongest.

AI agents are the newest pitch in this market. Upflow describes a platform for B2B finance teams to collect smarter and get paid faster, with AI agents that work alongside the team. Tesorio describes AI agents that handle the full order-to-cash lifecycle. Ask each vendor which tasks its agents do without a person, which need approval, and how every action is logged.

We set out the approaches first and selected one vendor for each afterwards; the table cannot be bought. Close to twenty vendors sell AR and collections automation. Vendors, named here or not, can present their own case in the Spotlight below.

🔎
Market Insight
AR and payments are converging. Invoiced says Invoiced by Flywire is an AI-native invoice-to-cash platform for B2B finance teams. When AR software also processes payments, ask how payment fees are set, who pays them, and whether you can use your own processor.

Section 6

How much should you budget for Accounts Receivable & Collections Automation?

AR software is priced by invoice or revenue volume, users, modules and payment fees. Upflow says its plans are priced by invoiced revenue, with no seat fees. Ask each vendor for the pricing unit, the payment fees and who pays them, and what implementation costs.

The value of AR automation shows up in lower days sales outstanding, fewer write-offs, less manual matching and more accounts per collector. Model it on your own receivables and cash application effort.

Meter You are charged for Grows with Where it goes wrong
Invoice or revenue volume Invoices sent or revenue invoiced Sales growth Costs rising faster than collections work
Users Collectors and finance staff Team size Paying for occasional users
Modules Collections, cash application, credit, portal Scope Cash application sold separately
Payment fees Card and ACH transactions Payment volume Fees passed to customers or absorbed
Implementation ERP and bank integration Complexity Integration left out of the quote
What moves the bill
Volume Invoices, customers and revenue.
Scope Collections only, or payments, cash application and credit too.
Payments Transaction fees and who pays them.
Annual Value Formula
Annual Value = Working Capital Freed (DSO Reduction × Daily Revenue × Cost of Capital) + Write-Offs Avoided + Matching Time Saved − (Subscription + Payment Fees + Implementation ÷ Years)

Section 7

How long does implementation take for Accounts Receivable & Collections Automation?

AR projects depend on clean customer data and ERP integration. Connect the data first, then automate collections and cash.

Phase 1
Connect and Clean (Weeks 1–4)

Integrate the ERP and banks. Clean customer contacts, terms and open invoices.

Phase 2
Invoices and Portal (Weeks 4–8)

Turn on invoice delivery and the customer portal. Track adoption and payment methods.

Phase 3
Collections (Weeks 8–12)

Launch collections workflows for a customer segment. Measure DSO and overdue balances against the baseline.

Phase 4
Cash Application and Expand (Ongoing)

Automate cash application. Add credit management and further segments.

Section 8
